This tutorial provides examples of how to setup pipelines. The examples below use a photographer's workflow as an example.

Examples of Client Pipelines For Photographers

The following examples are of tracking a potential client for a wedding photographer and a portrait photographer.

  • Portrait Client Pipeline Example
    • Pipeline Name: Potential Portrait Client
      • Pipeline Stage 1: Send Welcome Email
        • This email can be done through a pipeline stage action. The email could contain a current price sheet, a link to the cloudbooking for the customer to book an appointment or a link to the cloudforms for the customer to fill out a form.
      • Pipeline Stage 2: Call Lead Attempt #1
        • Deadline: 2 days after initial contact
        • If successful schedule client and close pipeline
        • If unsuccessful automatically send an email saying that we tried to connect and missed you. 
      • Pipeline Stage 3: Call Lead Attempt #2
        • Deadline: 5 days after initial contact
      • Pipeline Stage 4: Call Lead Attempt #3
      • Pipeline Stage 5: Awaiting Prospective Client Response
      • Pipeline Stage 6: Schedule Client

  • Wedding Client Pipeline Example
    • Pipeline Name: Potential Wedding Client
      • Pipeline Stage 1: Send Welcome Email
        • This email can be done through a pipeline stage action.
      • Pipeline Stage 2: Call Lead
      • Pipeline Stage 3: Awaiting Prospective Client Response
      • Pipeline Stage 4: Schedule Client

If you want to have both options of pipelines you can make the above pipelines hidden pipelines and make the following pipeline the default client pipeline. Hidden pipelines are pipelines that you can switch to from within another pipeline.

  • Both Pipeline Options Example
    • Pipeline Name: Main Lead Pipeline
      • Pipeline Stage 1: Select the Pipeline
        • Note: This option only is used to remind you that you need to select a pipeline for the client
      • Pipeline Stage 2: Portrait Client Pipeline
        • When this pipeline stage is selected it will automatically switch this pipeline to be the portrait client pipeline.
      • Pipeline Stage 3: Wedding Client Pipeline
        • When this pipeline stage is selected it will automatically switch this pipeline to be the wedding client pipeline

Examples of Event/Session Pipelines

This pipeline would only be used to track the steps that need to be done before or after a event or session.

Event/Session ProTips

  • If you would like to send out a confirmation email when the session or event is booked StudioCloud recommends that you do it using the calendar type rather then a pipeline.
  • Automatic personalized emails and automatic personalized text messages such as reminder emails before the session and thank you emails after the session are done using CloudAlerts and not pipelines
  • Event and Session pipelines can be manually assigned when creating the event or session. However, StudioCloud recommends that you use Calendar Types to have the desired event/session pipeline automatically assigned when the session or event is created.
    • If a pipeline is setup as the default pipeline for a calendar type then all of the calendar sub-types will also have the same settings

    • Pipeline Name: Family Photo Shoot Pipeline
      • Pipeline Stage 1: Check Camera Batteries and memory card
        • Deadline: Two hours before session
      • Pipeline Stage 2: Backup Memory card
        • Deadline: One hour after session
      • Pipeline Stage 3: Call To Schedule Sales Session Attempt #1
        • Deadline: Two days after session
        • Action: Send Email
      • Pipeline Stage 3: Call To Schedule Sales Session Attempt #2
        • Deadline: Five days after session
        • Action: Send Email
      • Pipeline Stage 3: Call To Schedule Sales Session Attempt #3
        • Deadline: Ten days after session
        • Action: Send Email
  • Wedding Pipeline Example
    • Pipeline Name: Wedding Photo Shoot Pipeline
      • Pipeline Stage 1: Call to confirm details regarding the wedding
        • Deadline: One week before wedding
      • Pipeline Stage 2: Check All Equipment
        • Deadline: One Day before wedding
      • Pipeline Stage 4: Awaiting Wedding
      • Pipeline Stage 5: Backup Memory card
        • Deadline: Four hours after wedding

        • Deadline: Two weeks after wedding

Examples of Order Pipeline

  • Invoice Pipeline Example
    • Pipeline Name: Normal Order
      • Pipeline Stage 1: Processing Images
      • Pipeline Stage 2: Touching Up Images
      • Pipeline Stage 3: Order Sent To Lab
      • Pipeline Stage 4: Order Received From Lab
        • Automatically email the employee responsible for packaging the order when this stage marked active.
      • Pipeline Stage 5: Order Being Packaged
      • Pipeline Stage 6: Order Awaiting Shipment
        • If the client is going to be picking up their order skip this pipeline stage and mark pipeline stage 7 as the active pipeline stage.
      • Pipeline Stage 6: Order Shipped
        • Automatically notify client by email that the order has been shipped and mark pipeline completed
      • Pipeline Stage 7: Awaiting Customer Pickup
        • Automatically notify client by email and text message that their order is ready to pick up
      • Pipeline Stage 8: Client Picked Up Order
        • Pipeline is marked completed
