How to Use The Mobile App

Mobile App Interface

This tutorial explains how to access the mobile apps and use the ios, android, and web based mobile app.

What types of mobile apps are available?

StudioCloud offers 3 different types of mobile apps

Mobile App Overview

This mobile interface allows you to access the following: 

  • Clients
    • Search Clients, View Recent Clients, Create, Edit and Delete Clients
  • Calendar
    • View a month, week, and day view of the calendar, Create, Edit, and Delete Sessions/Events/Appointments
  • Agenda
    • Table view of Sessions/Events/Appointments, Create, Edit, and Delete Sessions/Events/Appointments
  • Invoices
    • View invoices and take credit card payments for invoices. 
    • Creating and editing invoices from the mobile app is not currently supported.
  • Projects
    • View Projects
  • TimeCard 
    • (Requires EmployeeBoost Subscription)
  • Mileage Tracking
  • CloudForms 
    • (Requires CloudForms Subscription)

Employee Security Options

StudioCloud supports the following security options listed below.

  • Employees can be locked out of mobile features entirely based on security roles.
  • Employees can be locked out of mobile features entirely based on ip address
  • Employees can be locked out of specific mobile features such as Clients, Calendar, Timecard, etc. based on security roles.

Subscription Requirements

The mobile app requires a paid subscription and is available with all of the paid subscriptions options.

Paid subscribers can login to one mobile interface per user account.

Client Overview

How to Find a Client

Clients are not shown in the list of clients until a search has been made. At least 3 letters are required before a search will be conducted.

  1. Select the Menu option
  2. Select the Clients menu item
  3. Search for and select the desired client

How to View Recently Modified Clients

  1. Select the Menu option
  2. Select the Clients menu item
  3. Select the Recent menu item
  4. Select the desired client

How to Enter a New Client

  1. Select the Menu option
  2. Select the Clients menu item
  3. Select the Actions menu option
  4. Select the desired type of client to create

How to Edit a Client

  1. Select the Menu option
  2. Select the Clients menu item
  3. Search for and select the desired client
  4. Select the Actions menu option
  5. Select the Edit menu item

How to Delete a Client

  1. Select the Menu option
  2. Select the Clients menu item
  3. Search for and select the desired client
  4. Select the Actions menu option
  5. Select the Delete menu item

How to Send an Email to a Client

When you send an email through this web interface it will open up the default app on your device for sending emails and should have the subject line and body of the message pre-populated.  However, this technology is limited to only support plain text messages so any advanced formatting in the email templates will be discarded.

  1. Select the Menu option
  2. Select the Clients menu item
  3. Search for and select the desired client or create a new client
  4. Select the Actions menu option
  5. Select the Email menu item
  6. Select the desired email template
    1. Once you select the desired template it will open the personalized email in your default email client

How to Open a Personalized Cloudform For a Client

  • Select the Menu option
  • Select the Clients menu item
  • Search for and select the desired client or create a new client
  • Select the Actions menu option
  • Select the CloudForm menu item
  • Select the desired CloudForm
  • This will open the personalized cloudform in your browser.

  • How to Send a Contract To a Client

  • Select the Menu option
  • Select the Clients menu item
  • Search for and select the desired client or create a new client
  • Select the Actions menu option
  • Select the Contract menu item
  • Select the desired Contract
    1. Once you select the desired template it will open an email with a link to the contract in your default email client

    How to View Your Calendar

  • Select the Menu option
  • Select the Calendar menu item
  • Select the desired day
  • How to Schedule a New Session, Event, or Appointment

  • Select the Menu option
  • Select the Calendar menu item
  • Select the desired time slot on the calendar to book
  • To select a time slot on the calendar you will long press on the day and time you want to use. Long press means to press your finger down on the calendar for several seconds to activate a task or access additional options.
  • Enter the desired information and click the Save button

  • Select the desired session, event or appointment
  • In the View event window click the pencil icon in the top right to edit it.

  • In the View event window click the pencil icon in the top right to delete it.

    How to View Your Agenda

  • Select the Menu option
  • Select the Agenda menu item
  • Select the desired day either by clicking the Next or Prev buttons or by clicking the date in between them and selecting the desired day.

  • Select the Agenda menu item
  • Select the New button
  • Enter the desired information and click the Save button

  • In the View event window click the pencil icon in the top right to edit it.

  • Invoices Overview

    How to View Invoices

  • Select the Menu option
  • Select the Invoices menu item
  • Search for and select the desired invoice
  • Pro-Tip: Use the Filters button to search for the invoice.
  • How to Accept a Payment for an Invoice

  • Select the desired invoice
  • Select "Add Payment" to add a cash or check payment
  • Select "Add Credit Card Payment" to enter a credit card
  • CloudForms Overview

    How to Open A New CloudForms In A New Browser tab

  • Select the Menu option
  • Select the CloudForms menu item
  • Search for and select the desired CloudForm
  • The CloudForm will open in a new browser tab
  • Timecard Overview

    How to use the Time Card

  • Select the Menu option
  • Select the Timecard menu item
  • Select either the Clock In or Clock out button
  • Mileage Overview

    How to use the Mileage Tracking at the start of the trip

  • Select the Menu option
  • Select the Mileage Tracking menu item
  • Enter the Odometer Start
  • Select the Save button
  • How to use the Mileage Tracking at the end of the trip

    Mileage Tracking is only available if the employee that is logged in is setup as a driver.  Click here for details how to create a driver in StudioCloud.

  • Select the Menu option
  • Select the Mileage Tracking menu item
  • Enter the Odometer End
  • Enter any desired notes
  • Select the Save button
