This tutorial explains what CloudAlerts are and how to set them up.

What are CloudAlerts?

CloudAlerts are personalized email or text messages that are automatically sent to customers based on various options.

What Type of Automatic Messages Options are Support?

Here is a list of some of the automatic personalized messages that CloudAlerts can do:

  • Send out a personalized message before, during, or after a session, appointment or event
  • Send out a personalized message before, during, or after a clients birthday, anniversary, or other recurring date that happens ever year.
  • Send out a personalized message for a clients outstanding payments to notify them of the payment and, if so desired, have them pay for it by clicking a link in the email.
  • Send out a personalized message to leads, leads are potential clients that you are actively working with to convert them to paying clients, a few hours or days after they are created in StudioCloud
  • Send out a personalized message for a task or project before or after the deadline for them

When are CloudAlerts messages sent?

CloudAlert email and text messages are never sent before a deadline but they can be sent up to one hour after a deadline. As such please add 1 hour to your desired deadline to factor this in. When editing a CloudAlert if you click on the "Summary" tab it will provide a breakdown of when the message will be sent.

Setup Requirement 1: CloudAlerts Timezone Setup

Before CloudAlerts can send out automatic messages your timezone needs to be setup so that StudioCloud knows when to send out the messages.

Email Setup Requirement: CloudAlerts Automatic Email Setup

In order to have CloudAlerts send emails you will need to first setup your email account in StudioCloud.

Text Message Setup Requirement: CloudAlerts Automatic Text Message Setup

In order to have CloudAlerts send text messages you will first need to purchase text message credits.

How To Setup CloudAlerts to Automatically Send Session, Appointment, or Event Messages

CloudAlerts can be setup to automatically send an email or text message to a customer a few hours or a few days before or after a session, appointment, or event. This is ideal for sending confirmation messages, reminder messages, or thank you messages to customers.

How To View the CloudAlerts That Have Been Sent

Each CloudAlert that has been sent from StudioCloud is recorded in the logbook. You can view the logbook for clients, sessions, invoices, etc. To view a logbook of all of the CloudAlerts that have been sent go to the "View LogBook Entries for Emails and Text Messages Sent Using CloudAlerts" section in the following link.
