How to Export your Invoices to CSV/QuickBooks*

Overview

This tutorial will show you how to export your invoices to CSV or QuickBooks.

Warning

*Please note: Different versions of Quickbooks sometimes import/export data differently and, as such, we encourage you to backup your QuickBooks data file before importing invoices into QuickBooks.

How to Export your Invoices to CSV

  1. Click the Point of Sale component
  2. Click the Point of Sale tab
  3. Click the Invoices/Estimates/Quotes button
  4. Select the invoices you want to export 
    1. You can select invoices individually or use the Group Operations to select all of the invoices
  5. Click the Group Operations menu button
  6. Select the Export Invoices menu option
  7. Select the Export Selected Invoices to CSV option
  8. Verify the invoices you want to export
  9. Click the Export Selected Invoices button
  10. Specify the file that you want to save the information to

How to Export your Invoices to QuickBooks

  1. Click the Point of Sale component
  2. Click the Point of Sale tab
  3. Click the Invoices/Estimates/Quotes button
  4. Select the invoices you want to export 
    1. You can select invoices individually or use the Group Operations to select all of the invoices
  5. Click the Group Operations menu button
  6. Click the Export Invoices menu option
  7. Click the Export Selected Invoices to QuickBooks option
  8. Verify the invoices you want to export
  9. Click the Export Selected Invoices button
  10. Specify the file that you want to save the information to

How The Exported Invoices Match Up In QuickBooks

  1. The following import options match QuickBooks
    1. StudioCloud's Invoices # Matches To QuickBooks Invoice #
    2. StudioCloud's Client Name and Address Matches to QuickBooks Bill To name and address
    3. StudioCloud's Invoice Date Matches to QuickBooks Date
    4. StudioCloud's Product Name Matches To QuickBooks Item
    5. StudioCloud's Product Description Matches To QuickBooks Description
    6. StudioCloud's Quantity Matches To QuickBooks Quantity
    7. StudioCloud's Price Matches To QuickBooks Rate
    8. StudioCloud's Sales Tax Matches To QuickBooks Sales Tax

Exporting To QuickBooks Recommendations and Limitations

  1. Always make a backup of your QuickBooks file before doing an import 
  2. Invoices imported more than once will be duplicated in QuickBooks 
  3. When payments are imported they will not be attached to the invoice. But they should be attached to the client so you should be able to attach the payment to the invoice. 
  4. Services are imported into QuickBooks as a Service 
  5. Products and Packages are imported into QuickBooks as Non-inventory Parts 
  6. QuickBooks Online does not support importing IIF files and, as such, StudioCloud can not export to QuickBooks Online
  7. This export has been tested with QuickBooks Premier Edition 2011 for the USA. Although it may work for other versions of QuickBooks it has not been tested with those versions.
