Overview

This tutorial will explain how to customize the invoice number in StudioCloud.

Please note: The largest possible invoice number supported in StudioCloud is 2100000000.  If you try to create an invoice number larger than that it will be automatically changed.  Once you have reached that number all future invoices will have that number.

How to have StudioCloud Auto-Generate an Invoice Number

When you create a new invoice StudioCloud will automatically generate an invoice number for you by default. There is not anything you need to do.

How to Manually Select the Invoice Number For A New Invoice

If you manually enter the invoice number for a new invoice it is your responsibility to make sure that invoice number is unique.

1. Click on the Point of Sale component
2. Click the Point of Sale tab
3. Click the Invoices/Estimates/Quotes button
4. Click the New Invoice button in the bottom right
5. Click on the Settings tab on the bottom left of the new invoice window
6. Uncheck the Auto Generate Invoice Number checkbox
7. Change the Invoice Number field to be the desired invoice number
8. Click the Save button

How to Change the Invoice Number When Editing An Invoice

1. Click on the Point of Sale component
2. Click the Point of Sale tab
3. Click the Invoices/Estimates/Quotes button
4. Edit an existing invoice.
5. Click on the Settings tab on the bottom left of the invoice window
6. Change the Invoice Number field to the desired invoice number
7. Click the Save button

How to Start Your Invoices at a Specific Number For New Invoices

To adjust how StudioCloud generates the invoice number ID's you must do the following:

• Edit an invoice and change the invoice number to be where you want StudioCloud to start generating invoice numbers.
• For example, If you want StudioCloud to generate invoice numbers starting at 1000 then you would edit an invoice and change the invoice number to be 1000. The next invoice number that would automatically be generated when StudioCloud creates a new invoice would be 1001.

Resolving Invoice Number Issues

If you have an invoice's that have a higher invoice number then the invoice number that you want to start using then you will either need to delete those invoices or manually edit all of the invoices to have an invoice number that is lower then the desired invoice number range.

For example, if you want invoice numbers to start at 1000 but you have an invoice that has a invoice number of 2000 then you will need to either edit that invoice to have an invoice number of 1000 or StudioCloud will generate the next invoice number as 2001 for the next new invoice.
