How to Use CloudAlerts For Project and Task Deadline Reminders

Overview

This tutorial explains how to setup CloudAlert Emails and Text Messages to be sent out based on a project or task deadline

    How to Open a New CloudAlert Email Window

    1. Click on the Cloud Services component
    2. Click on the CloudAlerts tab
    3. Click on the Manage CloudAlert Emails button
    4. Click the New CloudAlert Email button or edit an already existing one

    How to Customize The Email CloudAlert For Projects or Tasks

    1. Open the CloudAlert Email Window using the instructions above
    2. Enter the name for the CloudAlert
      1. An example name could be "Project Deadline Email" or "Task Deadline Email"
    3. Select either the Project Deadline CloudAlert or the Task Deadline CloudAlert from the Select Type of CloudAlert Type combo box
    4. Select the number of hours or days before or after the deadline when you want the email sent
    5. Select the desired email template
    6. Click on the Email Recipients tab
    7. Click on the desired recipients
      1. To have the email automatically sent to any employees associated with the project or task you will need to click the Email Employee(s) checkbox
      2. To have the email sent directly to you then you would select the Specific Email Address checkbox and enter your email address.

    1. Click on the Cloud Services component
    2. Click on the CloudAlerts tab
    3. Click on the Manage CloudAlert Text Messages button
    4. Click the New CloudAlert Text Message button or edit an already existing one

    How to Customize The Text Message CloudAlert For Projects or Tasks

    1. Open the CloudAlert Text Message Window using the instructions above
    2. Enter the name for the CloudAlert
      1. An example name could be "Project Deadline Text Message" or "Task Deadline Text Message"
    3. Select either the Project Deadline CloudAlert or the Task Deadline CloudAlert from the Select Type of CloudAlert Type combo box
    4. Select the number of hours or days before or after the deadline when you want the email sent
    5. Select the desired email template
    6. Click on the SMS Text Message Recipients tab
    7. Click on the desired recipients
      1. To have the email automatically sent to any employees associated with the project or task you will need to click the Text Message Employee(s) checkbox
      2. To have the email sent directly to you then you would select the Specific Cell Phone Number checkbox and enter your cell phone address.
