Import Invoices and Payments from PhotoOne*

Overview

This tutorial will show you how to export your PhotoOne invoices and the payments for those invoices into StudioCloud.  Please be sure to do both the invoices and payments export from PhotoOne before trying to import information into StudioCloud.

PhotoOne Export Warning

This tutorial is based on the export process from PhotoOne version 9.4.305c. Version 9.4.313 of PhotoOne has removed a critical component from their exported files. Specifically they have removed the order number field (OrderNo field) which makes it impossible to match invoices with payments or clients. While there may be a logical reason for this change it certainly does give the appearance of them trying to hinder users from switching to StudioCloud. If you have a version later then 9.4.305c we recommend that you send your exported files along with your version number to support@studiocloud.com so that we can verify whether the correct information exists in the files. If you have a version listed below we can not import your invoices or payments into StudioCloud.

Known PhotoOne Versions That Do Not Work With StudioCloud

  • Version 9.4.313 removes key information from the exported invoice files making it impossible to match invoices/orders with payments or clients.
  • Other versions after version 9.4.305c may have the same problem.

How to Export Invoices from PhotoOne

  1. Go to Utilities menu at the top of the program
  2. Then click on Export > Export to Excel > Orders
  3. In the Spreadsheet Layouts window click the New button, unless you have previously created a spreadsheet layout
  4. Add each field from the "Available Fields" box to the "Show these fields in this order" box in the order that they appear in the "Available Fields" box
  5. Click the OK button taking you back to the Spreadsheet Layouts window and select your newly created layout
  6. Click the Select button
  7. On the Select a Spreadsheet Destination Options window, select the ASCII Export option
  8. Then click the Browse button to determine where the file will be saved
  9. Finally click the Save button

How to Export Payments from PhotoOne

  1. Go to Utilities menu at the top of the program
  2. Then click on Export > Export to Excel > Payments
  3. In the Spreadsheet Layouts window click the New button, unless you have previously created a spreadsheet layout
  4. Add each field from the "Available Fields" box to the "Show these fields in this order" box in the order that they appear in the "Available Fields" box
  5. Click the OK button taking you back to the Spreadsheet Layouts window and select your newly created layout
  6. Click the Select button
  7. On the Select a Spreadsheet Destination Options window, select the ASCII Export option
  8. Then click the Browse button to determine where the file will be saved
  9. Finally click the Save button

How to Import Invoices and Payments from PhotoOne

  1. Open and login to StudioCloud 3.0
  2. Go to the Point of Sale component
  3. Click the Import Options button and select the Import Invoices From PhotoOne CSV option
  4. In this new window click the Import Options button and select the Import from PhotoOne CSV File option
  5. Find your exported PhotoOne Order CSV File
  6. Click Open
  7. Next Find your exported PhotoOne Payment CSV File
  8. Click Open
  9. The invoices will now be imported into this window
  10. Click the Save button to save the information into your StudioCloud account
