How to Use the LogBook

Overview

The StudioCloud LogBook servers multiple uses listed below.

  1. Track changes made to information on your local computer and the StudioCloud servers
  2. Track outgoing communications with clients made through StudioCloud, StudioCloud CloudAlerts, or even communications made through other methods.  
  3. Undo changes that were made or view deleted information

This tutorial will explain where to find the LogBook entries and how to create new manual entries.  Please note, you cannot edit entries that are made automatically by StudioCloud. 

View All LogBook Entries

  1. Click on the Settings component
  2. Click on the Settings tab if it isn't already selected
  3. Click the View Logbook button
  4. Select the timeframe you want to look at
  5. Click the Load LogBook Entries button

View LogBook Entries for Emails and Text Messages Sent Using CloudAlerts

  1. Click on the Cloud Services component
  2. Click on the CloudAlerts tab
  3. Click the CloudAlert Logbook button
  4. Change the time frame accordingly
  5. Click the Load LogBook Entries button

How to Add a LogBook Entry

  1. Click on the Settings component
  2. Click on the General Settings tab if it isn't already selected
  3. Click the View Logbook button
  4. Click the New Entry button
  5. Select the Entry Type
  6. Enter a Summary and Notes
  7. Click the Save button

View LogBook Entries for a Client

  1. Click on the Clients component
  2. Find and edit a client/prospective client/lead
  3. Click on the LogBook tab
  4. Change the time frame accordingly and click the Load Entries button

View LogBook Entries For All Emails Sent In A Specific Timeframe

  1. Click on the Settings component
  2. Click on the Settings tab if it isn't already selected
  3. Click the View Logbook button
  4. Click the All Computer tab
  5. Change the time frame accordingly
  6. Click the Load Entries button
  7. Click the Entry Type header to sort by Entry Type and find the Email entries

How to Add a LogBook Entry for a Client

  1. Click on the Clients component
  2. Find and edit a client, prospective client, or lead
  3. Click on the LogBook tab
  4. Click the New Entry button
  5. Select the Entry Type
  6. Enter a Summary and Notes
  7. Click the Save button

View Invoice Log History

  1. Click on the Point of Sale component
  2. Click on the Invoices tab
  3. Find and edit the invoice
  4. Click on the Log Book tab
  5. You can view individual log entries by clicking the edit icon

View Payment Log History

  1. Edit the desired Payment
  2. Click on the Log Book tab
  3. You can view individual log entries by clicking the edit icon

View Event History

  1. Click on the Calendar component
  2. Click on the Calendar tab
  3. Find and edit the event
  4. Select the LogBook tab
  5. Click the Event Changes button
  6. You can view individual log entries by clicking the edit icon

Undelete Items

  1. Edit the desired item in the logbook.
  2. Click on the Actions tab
  3. Click on the appropriate undelete button.
    1. Note: Not all items can be undeleted.
