Setup Tips for School Photographers

This tutorial provides tips to help school photographers get the most out of StudioCloud


Pro-Tip: Use Tags To Track Students


Create a tag for each school, school event, and/or school sports team and append the year to it.

For example, if the school was called "Springville" and the year they will be in school is 2020 then StudioCloud recommends creating a tag called "Springville_2020". If you need to do pictures for an event such as prom that is different from other pictures at the school you could create a tag called "Springville_Prom_2020". If you need to track the local football sports team you can create a tag called "Springville_Football_2020".

Tags are great for reports, communication, and tracking items sold to students such as yearbook photos.

Pro-Tip: Setup The Calendar To Reuse CloudAlerts


To minimize the number of Cloudalerts emails and text messages you need to setup make sure to organize your calendar types so that you only need to set a CloudAlert email on the main calendar type which will automatically apply that CloudAlert email to all of the calendar sub-types.

Pro-Tip: School Photographers Should Use Strict Matching For CloudForms


Each cloudform can be setup to automatically match the client information in a cloudform with the client information saved in StudioCloud. There are various client matching methods. StudioCloud recommends that school photographers use the 'Strict Matching' method to avoid issues that can occur when seniors from different schools have the same name or when parents fill out a cloudform and use the same email address for multiple children.

Pro-Tip: Attach a Covid-19 Waiver to the CloudForm


StudioCloud's contract template samples offer a covid-19 waiver that can be added to a cloudform. Once a senior signs the waiver it will be automatically added to their client file as a pdf.

Use a CloudBooking Form if you want Students to Schedule Individual Time Slots on the Calendar


If you want each student to schedule individual time slots on the calendar you would use a cloudbooking form to do this.

Use A Group Event Form if you want Students to book one shared event and not individual time slots


If you would prefer that the students just schedule for one time slot that covers the entire photo shoot event you can do that using a group event form.

Use The Scheduler Wizard If You Want To Pre-Schedule Seniors


If the school provides you with a csv/excel file of the students that you need to schedule then StudioCloud recommends using the Scheduler Wizard to quickly schedule all of them. If that csv/excel file contains phone numbers or email addresses you can setup automated email and/or text message to automatically be sent to them telling them that their session has been scheduled.

Use a Rescheduling Online Booking Form for Students if you want them to reschedule


When scheduling students you can include a personalized link in the confirmation email or text message that is automatically sent to them which will allow them to reschedule their session.

Use the same Online Booking Form for Employees to Schedule Students


You can also have employees use the same Online Booking Form that the students use in order to avoid any scheduling mistakes or double bookings.

Use a Rescheduling Online Booking Form for Employees to Reschedule Students


You can also have employees use the same rescheduling Online Booking Form that the students use directly from the StudioCloud program in order to avoid any scheduling mistakes and double bookings. Employees can access the rescheduling CloudBooking form from any of the following locations:

  • From the clients history
    • Click on the "Select Action" option for the session being rescheduled and click the "Open Rescheduling Form" option
  • From the agenda view
    • Click on the "Select Action" option for the session being rescheduled and click the "Open Rescheduling Form in Browser" option
  • When editing a session
    • Click the "Open" menu option followed by the "Open Rescheduling Form In Browser" menu item.
